terms & conditions ~

By booking and attending an appointment with Neptune Naturopathy, you acknowledge that you have been provided with access to, have read and understood these Terms & Conditions, and agree to be bound by them.

These Terms & Conditions should be read together with the Neptune Naturopathy Privacy Policy and Cancellation & Rescheduling Policy, which form part of the arrangements for your care.

1. NATUROPATHIC CARE

Naturopathic consultations provide individualised health and wellbeing support based on the information you provide, your health history, symptoms, lifestyle and other relevant factors.

Naturopathic care is complementary and does not replace medical diagnosis, treatment or emergency care. You are encouraged to maintain appropriate care with your GP and other healthcare professionals and to disclose relevant medical conditions, medications, supplements, allergies, pregnancy or other factors that may affect your care.

I will practise within my professional scope, education, training and level of competence. Where appropriate, I may recommend referral to another healthcare practitioner or service.

Recommendations may include nutrition, lifestyle, herbal medicine, nutritional supplements, functional testing or referrals, where appropriate to your individual circumstances.

While I aim to provide individualised and evidence-informed care, no particular health outcome or result can be guaranteed. Your response to recommendations may vary depending on your individual circumstances and other factors.

You remain responsible for decisions regarding your healthcare and for following advice provided by appropriately qualified healthcare professionals.

2. INFORMED CONSENT AND SHARED DECISION-MAKING

I will provide information relevant to your care and, where appropriate, discuss the intended purpose, potential benefits, risks, alternatives and costs associated with recommendations.

You are encouraged to ask questions and participate in decisions about your care.

You may decline a recommendation or withdraw consent to treatment at any time. Withdrawal of consent will not affect your right to seek appropriate healthcare.

You agree to provide information that is accurate and complete to the best of your knowledge and to notify me of relevant changes to your health, medications, supplements or circumstances.

Acceptance of these Terms & Conditions does not replace specific informed consent that may be required for a particular treatment, procedure, test, recording or other aspect of your care.

3. SUPPLEMENTS AND HERBAL MEDICINES

Recommendations may include supplements, herbal medicines or other therapeutic products.

These products may be supplied through independent third-party practitioners, dispensaries, pharmacies, wholesalers, online providers or other suppliers.

Neptune Naturopathy does not manufacture these products. Product availability, pricing, ordering, payment, shipping, delivery, returns, refunds, warranties and other product-specific terms may therefore be governed by the relevant third-party provider.

Where you choose to purchase products through a third-party provider, you may be required to provide information reasonably necessary for the provider to process and fulfil your order.

Products are recommended based on my professional assessment and the information available to me at the time. A recommendation does not guarantee a particular health outcome.

You are responsible for following the directions provided and for informing me of any adverse effects, unexpected reactions or concerns. Where appropriate, you should also seek medical or emergency care.

Products recommended for you should not be shared with other people.

Where a therapeutic product is supplied by a third party, that provider is responsible for matters relating to its supply and fulfilment to the extent required by law. Nothing in these Terms & Conditions limits any rights or responsibilities that cannot lawfully be excluded.

4. PATHOLOGY, FUNCTIONAL TESTING AND TEST RESULTS

Where you provide pathology, functional testing or other health test results, I may review and discuss those results within the scope of naturopathic practice and my professional competence.

Naturopathic interpretation of test results does not replace diagnosis, medical assessment or treatment by an appropriately qualified medical practitioner.

Testing may have limitations, and results should be considered alongside your symptoms, health history and other relevant information.

Where results or symptoms indicate that further medical assessment or investigation may be appropriate, I may recommend that you consult your GP or another appropriately qualified healthcare professional.

Where testing is arranged through a third-party provider, that provider may have its own terms, fees, privacy practices and requirements.

5. FEES AND PAYMENT

Consultation fees are payable at the time of the appointment unless otherwise agreed in advance.

Current consultation fees will be displayed at the time of booking.

Additional costs may apply for supplements, herbal medicines, pathology, functional testing, practitioner referrals or other third-party services.

Third-party product and testing costs are separate from Neptune Naturopathy consultation fees.

You will be informed of applicable costs where reasonably practicable before you are required to proceed with an additional service or purchase.

Nothing in these Terms & Conditions limits any rights you may have under applicable Australian consumer law.

6. APPOINTMENT TIMES AND LATE ARRIVAL

Appointment times are reserved specifically for each client.

If you arrive late, your consultation may need to finish at the originally scheduled time so that other appointments can proceed as scheduled.

Where time permits, I may extend an appointment at my discretion. An extension is not guaranteed and may incur an additional fee where this has been agreed with you in advance.

Repeated lateness may affect the amount of consultation time available.

7. CANCELLATIONS AND RESCHEDULING

Cancellations and rescheduling are subject to the Neptune Naturopathy Cancellation & Rescheduling Policy.

The current Cancellation & Rescheduling Policy will be provided or made available at the time of booking and forms part of these Terms & Conditions.

I understand that unexpected circumstances can occur and may exercise discretion in appropriate circumstances.

8. CLIENT RESPONSIBILITIES

You agree to provide information that is accurate, complete and current to the best of your knowledge, including information about:

  • your health history;

  • current symptoms;

  • medications;

  • supplements and herbal medicines;

  • allergies and sensitivities;

  • relevant medical conditions;

  • pregnancy or breastfeeding where relevant;

  • relevant pathology or test results; and

  • other information that may reasonably affect your care.

You should notify me of significant changes to your health, medications or circumstances during your care.

You are responsible for informing me if you have concerns about a recommendation or if your circumstances change in a way that may affect its suitability.

You are also responsible for following product directions and seeking appropriate medical or emergency care where required.

9. TELEHEALTH

Telehealth consultations require an appropriate private environment and a reliable internet connection.

You are responsible for ensuring that you can participate safely and confidentially and that you are located somewhere that permits the provision of telehealth services.

Telehealth may not be suitable for every concern and has limitations, including the inability to perform certain physical examinations.

If your concerns require physical examination, urgent assessment, emergency care or services outside the scope of telehealth, I may recommend that you seek face-to-face medical or other appropriate healthcare.

Telehealth consultations are not intended for emergencies.

10. COMMUNICATION

Routine communication may occur by email, telephone, SMS or through practice management software.

Electronic communication may carry privacy and security risks. Where possible, please avoid sending highly sensitive health information by ordinary email or SMS.

Messages are not monitored continuously and should not be relied upon for urgent or emergency healthcare.

Where appropriate, communication outside scheduled consultations may be limited to matters relating to appointments, clarification of recommendations or other reasonable administrative or clinical follow-up.

Additional consultation time may be required where more detailed clinical assessment or advice is requested outside an appointment.

11. CLINICAL RECORDS

I will maintain clinical and administrative records in accordance with applicable Australian privacy, record-keeping and professional requirements.

Your information will be handled in accordance with the Neptune Naturopathy Privacy Policy.

You may request access to, or correction of, personal information held about you, subject to applicable legal requirements.

12. AI-ASSISTED DOCUMENTATION

Neptune Naturopathy may use AI-assisted functionality within Splose to support clinical documentation and administrative tasks.

Where AI is used to record, transcribe or assist with documentation of a consultation, your specific consent will be requested before use.

You may decline or withdraw your consent at any time. Declining or withdrawing consent will not affect your access to care.

AI-generated content is reviewed by me before being incorporated into your clinical record and does not replace my professional judgement, clinical assessment or responsibility for your care.

Further information about the handling of personal information and AI-assisted documentation is provided in the Neptune Naturopathy Privacy Policy.

13. PROFESSIONAL BOUNDARIES AND CONTINUITY OF CARE

I aim to provide care that is respectful, professional, collaborative and appropriate to your individual circumstances.

I will maintain appropriate professional boundaries and practise in accordance with relevant professional and ethical standards.

Where I believe another practitioner or service would better meet your needs, I may recommend referral or additional care.

You remain free to seek care from another practitioner at any time.

I may decline or discontinue providing a particular service where it falls outside my scope, competence or ability to provide safe and appropriate care. Where reasonably practicable, I will discuss appropriate alternatives or referral options with you.

14. EMERGENCIES AND URGENT CARE

Neptune Naturopathy does not provide emergency medical services.

If you are experiencing a medical emergency or a condition requiring urgent assessment, you should seek immediate medical attention through an appropriate emergency or medical service.

Routine emails, SMS messages and appointment bookings should not be used to seek emergency medical advice.

15. PRIVACY

Your personal and health information will be collected, used, disclosed and stored in accordance with the Neptune Naturopathy Privacy Policy.

The Privacy Policy explains how your information is handled, including the use of Splose, AI-assisted documentation and third-party service providers.

The Privacy Policy forms part of these Terms & Conditions.

16. CONSUMER RIGHTS AND LIABILITY

Neptune Naturopathy will provide services with due care and skill and in accordance with applicable Australian law and relevant professional obligations.

Nothing in these Terms & Conditions is intended to exclude, restrict or modify any rights, guarantees or remedies that cannot lawfully be excluded, restricted or modified under the Australian Consumer Law or other applicable legislation.

To the extent permitted by law, Neptune Naturopathy is not responsible for consequences arising from information that you knowingly provide that is inaccurate, incomplete or withheld where that information was reasonably relevant to your care, or from circumstances outside my reasonable control.

Nothing in these Terms & Conditions limits liability where doing so would be unlawful.

17. COMPLAINTS AND CONCERNS

If you have a concern about your care, treatment, communication or experience with Neptune Naturopathy, please contact me as soon as reasonably possible so that I can discuss the matter with you and attempt to resolve it appropriately.

You may also seek independent advice or make a complaint to a relevant professional, regulatory, privacy or consumer body where applicable.

18. CHANGES TO THESE TERMS & CONDITIONS

These Terms & Conditions may be updated from time to time to reflect changes in legislation, professional requirements, services, technology or practice procedures.

The current version will be made available to clients. Where a change materially affects your rights or obligations, reasonable notice will be provided where appropriate.
